How to Check Guests In at the Door: A Complete Event Check-In Guide

Selling the ticket is half the job; the other half happens at the door, in the few seconds it takes to admit each guest. A slow or unreliable door creates queues, lets duplicate tickets through, and starts your event on the wrong foot. Here’s how to run fast, reliable event check-in on WordPress — what to scan with, what rules to enforce, and how to keep the line moving even when the venue Wi-Fi gives out.

Every ticket is a scannable, unique QR code

Turn any phone into a door scanner

The Check-in app runs in the browser — no app store — and installs to a phone or tablet’s home screen as a full-screen app. Staff sign in and pick the event (and the date, for a recurring event), and the scan screen opens. There are three ways to admit a guest, all running the exact same rules:

  • Phone camera — the default at most doors. On a phone or tablet the camera starts automatically; point it at the guest’s QR (on their screen or on paper) and it reads instantly, no shutter button.
  • USB or Bluetooth scanner — for high-volume gates, a hardware reader is faster. It acts like a keyboard: scan, and the code drops into the app and submits automatically.
  • Manual entry — type the ticket code by hand for the occasional crumpled or unscannable ticket.

Clear, instant results — by sound, not just sight

Each scan fills the screen in colour with a plain-language result: Entry allowed in green, or a warning such as Already used, Check-in closed, Wrong event or Invalid ticket. The app can also play a sound and vibrate with distinct cues for allowed versus refused, so staff don’t have to stare at the screen in a fast line. You choose whether each result auto-dismisses (fastest for a queue) or waits for a tap.

Admit a whole group in one scan

Families and groups arrive together, and scanning each person separately is slow. Scan the order’s QR or barcode — for example printed on the receipt — and Venuera checks in every ticket on that order at once. It’s a small detail that clears your busiest moments quickly.

Enforce real entry rules, automatically

Good check-in isn’t just “valid or not” — it’s “allowed in right now.” Venuera’s rules live in the core and behave identically whether a ticket is scanned from the app, the admin, or the box office. You set a global default and override it only per event or per ticket type. The three rules:

  • Max entries — single entry, a fixed number, or unlimited (for in-and-out re-entry).
  • Availability window — when a ticket may be scanned: an event window (from N minutes before to N after), from the start onward, for a set time after purchase, a re-entry window after first check-in, or a fixed date range. All computed in UTC so they’re correct across time zones.
  • Per-period limit — e.g. one entry per day on a multi-day pass.

Every scan is written to an audit log, and a manager can undo the last check-in if a ticket was scanned by accident.

See the door in real time

The top of the scan screen shows live counts — sold, checked in and remaining — refreshing as guests come through, so a supervisor’s device always reflects the room. Need to find someone without a ticket in hand? The searchable guest list looks them up by name, email or order number and checks them in by hand, running the same rules as a scan.

Keep working with no signal

Venue Wi-Fi fails at exactly the wrong moment, so the Check-in app has a true offline mode. Load the event while you still have a connection and the app stores a snapshot of that event’s tickets and rules on the device. When the signal drops, scanning keeps working — and the rules are still enforced: a single-entry ticket scanned twice still shows Already used, a closed window still blocks entry. Each offline scan is queued and stamped with the real door time; when you reconnect, everything syncs and the server reconciles conflicts (if the same ticket was used on another door’s phone, the duplicate is flagged). Load each event before doors open and several phones can each carry their own copy.

Hand it to staff safely

You don’t want gate staff poking around your admin. Activating the add-on adds a Door Staff role whose only real ability is checking people in — they use the app without access to events, orders or settings. Need to revoke it after the event? Remove the role.

No. The Check-in app runs in any modern phone or tablet browser and installs to the home screen — the built-in camera scans QR codes. For high-volume gates you can also use a USB or Bluetooth barcode reader, or type the code in manually.

Can I check guests in without an internet connection?
