How to Sell Tickets for Graduations and Commencement Ceremonies

How to Sell Tickets for Graduations and Commencement Ceremonies

Graduation season comes with a problem no other event has: the hall holds a fixed number of seats, and every graduating student wants to bring more family than the room can fit. Promise everyone six guests and you will oversell a 600-seat auditorium before the dean finishes reading the first name. Hand out paper tickets and you will spend the morning untangling duplicates at the door. The real job is not “selling tickets” at all — it is distributing a scarce, fair number of seats, recording who is coming, and getting hundreds of proud families through the entrance without a queue down the street.

The good news is that you can run the whole thing on the WordPress site you already have. Venuera is a free, WooCommerce-based ticketing plugin, so graduation tickets are ordinary products in your store — with no per-ticket fee, whether you charge for seats or give them away. Here is how to set a ceremony up so that capacity, fairness, and check-in largely take care of themselves.

What makes graduation tickets uniquely tricky

Most events want to sell as many tickets as possible. A graduation wants the opposite. It needs to cap attendance at the room’s safe capacity, then divide that capacity fairly among graduates so no family is left standing on the pavement. On top of that you usually have several ceremonies — split by faculty, by campus, or into morning and afternoon sessions — and you need accurate headcounts for seating, catering, and safety sign-off. Three controls cover almost all of it: a hard capacity, a per-graduate guest limit, and a fast check-in. Venuera gives you all three.

Set up the ceremony in WooCommerce (the free core)

Because Venuera tickets are WooCommerce products, you create a graduation the same way you would add anything else to your store — and everything you already rely on (taxes, coupons, Stripe or PayPal) keeps working unchanged.

Step 1 — Create the ceremony as an event

Add a new Venuera event for the ceremony, set its date, time, and venue, and create at least one ticket type — for example “Guest Seat.” If admission is free, set the price to 0; Venuera still issues a real ticket with a scannable code. Once an order reaches Processing or Completed, tickets are generated automatically and emailed to the buyer, so a free RSVP behaves exactly like a paid order.

Step 2 — Set the hall capacity so you never oversell

Give the ticket type a capacity equal to the number of seats you can safely fill. Venuera tracks how many have sold and marks the ticket “sold out” the moment that number is reached, so the page simply stops accepting orders — no manual tallying, no oversold auditorium, no awkward emails apologising to families. Leave the capacity empty only if you genuinely want unlimited tickets, which for a fixed venue you almost never do.

Step 3 — Cap guest tickets per graduate (the fairness setting)

This is the setting that rescues graduation organisers. Venuera lets you set a maximum number of tickets per order on a ticket type, so each checkout can claim, say, four guest seats and no more. Paired with a unique booking link or access code per graduate, it is a transparent way to give every student the same allocation instead of a first-come, first-served scramble. Need a handful of students to bring extra guests? Issue them a separate, higher-limit ticket type rather than lifting the cap for the whole cohort.

Collect the details you actually need

A graduation is not just a headcount. You often need to know which graduate each block of guests belongs to, whether anyone requires step-free access, and who is staying for the reception afterwards. The Custom Attendee Fields add-on lets you ask for exactly that at checkout using nine field types — text, email, phone, number, text area, dropdown, checkbox, radio buttons, and date. So you can add a “Graduating student name” text box, an “Accessibility requirements” field, and a “Faculty” dropdown, and have the answers attached to each ticket. Because you are collecting personal information about guests, handle it in line with GDPR and your institution’s privacy policy; our guide to attendee data covers the essentials.

Run several ceremonies without rebuilding everything

Few institutions hold just one graduation. If you are running the same format across faculties or across a morning and an afternoon session, the Recurring Events add-on lets you define the schedule once and have Venuera generate each date, with guests choosing their session right on the event page. Importantly, each occurrence tracks its own capacity, so the 10am ceremony can sell out while the 2pm still has room — there are no oversold dates. If your ceremonies differ a great deal (different venues, different speakers), it is just as valid to create a separate event for each; our walkthrough on setting up recurring events covers both patterns.

Check every family in at the door — fast

Graduation mornings are won or lost at the entrance. Every Venuera ticket carries its own unique QR code, and the Check-in add-on turns any phone into a scanner: staff scan each guest, the app confirms a valid ticket, and a second scan of the same code is flagged so a passed-back ticket cannot smuggle in a duplicate. Tickets default to single entry, which is precisely what a one-time ceremony needs, and you can set an availability window so codes only work on the day itself. Station two or three volunteers with phones at each door and a full hall clears in minutes. For a deeper look at door operations, read how to check guests in at the door.

Help families find your page on Google

Parents and partners will search for your ceremony by name in the days beforehand. Venuera automatically outputs Schema.org Event markup on every event page — date, venue, and ticket offers included — which is the structured data Google reads for event rich results. That can mean a clearer, more prominent listing in search, with no extra SEO plugin to configure. If you want to understand what that markup is doing, we break it down in event schema markup for WordPress. Graduations also share a lot of DNA with other formal occasions, so if you run prize-givings or honours nights, our guide to ticketing award nights and ceremonies pairs neatly with this one.

Run your graduation on ticketing you own

Venuera’s core is free, with no per-ticket fees and your attendee data staying on your own site. Add capacity caps, per-graduate guest limits, custom fields, and door check-in only as you need them — and keep using the WooCommerce checkout you already trust.

Frequently asked questions

How do I limit each graduate to a set number of guest tickets?

On the ticket type, set a maximum number of tickets per order — for example, four. Each checkout can then claim up to that many guest seats and no more. Give every student the same booking link or access code so the allocation is identical across the cohort, and create a separate, higher-limit ticket type for the few students who are approved to bring extra guests.

Can graduation tickets be free?

Yes. Set the ticket price to 0 and Venuera still issues a real ticket with a unique QR code and emails it to the guest once the RSVP is confirmed. Because Venuera charges no per-ticket fee, free admission costs you nothing per seat — you only ever pay your normal payment-gateway fees on tickets you actually charge money for.

How do I stop overselling the venue?

Give the ticket type a capacity equal to your safe seating number. Venuera counts sales against that capacity and marks the ticket sold out automatically once it is reached, so the page stops taking orders. If you run multiple ceremonies with the Recurring Events add-on, each session tracks its own capacity independently, so one date selling out never affects another.

Can we check guests in quickly at the door?

Yes. Every ticket has a unique QR code, and the Check-in add-on lets staff scan guests in from any phone. Valid tickets are confirmed instantly and duplicate scans are flagged, so a passed-back ticket cannot get a second person in. Run several phones in parallel at each entrance to move large crowds through quickly.
